Title: Administrative Assistant
Location: New York, NY
Jr. Administrative Assistants typically support 10-15 Analysts/Associate bankers. We are looking for candidates who demonstrate a high level of service excellence and the ability to own the following key areas for us:
Job Description
- Telephone Support
- Answer and direct incoming phone calls as requested by professionals being supported
- Answer and direct incoming phone calls as back up for other Administrative Assistants
- Record and track detailed messages and relay follow-up
- Calendar Management
- Manage calendar for professionals being supported including coordinating and scheduling meetings via Outlook
- Reserve conference rooms including catering and audio visual needs through online booking system
- Arrange conference calls and initiate calls as needed
- Travel and Logistics Coordination
- Book flights, ground transportation, lodging and entertainment for business travel (domestic and international)
- Prepare itineraries for business travel
- Expense Submission and Reconciliation
- Prepare and submit monthly expenses through Concur and monitor corporate card payment to American Express
- General Administrative
- Manage client contacts for professionals being supported
- Filing and general organization
- Send and track FedEx packages
- Other tasks and special projects as requested by professionals being supported
Preferred Qualifications
- 1-2 years of previous experience as an administrative assistant preferably in a corporate environment
- High level of proficiency in software packages such as MS Outlook, Word, Excel, PowerPoint
- Bachelor’s degree preferred
- Highly organized and efficient
- Excellent communication skills both written and verbal
- Detail-oriented
- Excellent judgment and discretion regarding sensitive and/or confidential information
- Problem solving and decision making skills
- Friendly, positive attitude, team player
- Professional and polished presence
